Google Workspace vs Microsoft 365 for small businesses
A practical comparison for Overland Park owners choosing professional email — collaboration, cost, migration, and when either platform is enough.

Why professional email still matters
Professional email on your own domain (you@yourbusiness.com) is non-negotiable for trust. Banks, partners, and customers notice a free Gmail address on invoices. The two mainstream choices for small businesses are Google Workspace and Microsoft 365. Both can host mail, calendars, and documents; the “best” option usually depends on what your team already uses and how you collaborate.
When Google Workspace wins
Google Workspace tends to win when the team lives in the browser: Gmail, Drive, Docs, Meet, and shared calendars with almost no training. It is strong for remote or hybrid shops that share folders constantly and do not need deep desktop Office macros.
If your staff already use personal Gmail muscle memory, Workspace shortens onboarding. Shared Drive permissions replace the “which laptop has the file?” problem for many Overland Park teams under ten people.
When Microsoft 365 wins
Microsoft 365 tends to win when staff already depend on Word, Excel, Outlook, or Teams day-to-day — especially if you exchange complex spreadsheets with vendors or use desktop-only plugins. Outlook + OneDrive + Teams is a familiar stack for many Kansas firms that grew up on Windows.
If you already pay for desktop Office or run industry tools that assume Outlook, staying in Microsoft usually costs less friction than forcing a Google migration.
Cost, seats, and migration gotchas
Cost is similar at the entry seats for mail-and-docs plans; the gap shows up in add-ons, storage, and how many seats you really need. Factor in migration time: moving from a free Gmail or an old cPanel mailbox means DNS (MX records), spam filtering, and a cutover window so nothing bounces.
Aliases, shared inboxes (info@, billing@), and mobile setup belong in the plan before cutover day. We document SPF, DKIM, and DMARC so deliverability does not collapse when you leave the old host.
Email does not replace your website
Neither platform replaces a website. Email proves legitimacy; your site and Google Business Profile answer searchers. We often set DNS, mailboxes, and authentication alongside hosting so mail and web stay under one roof — whether you choose Google or Microsoft.
Quick rule of thumb: choose Google if the team is already in Chrome and Docs; choose Microsoft if Outlook/Excel are sacred. If you are unsure, we will map seats, MX cutover, and aliases in a consultation so you are not locked into the wrong stack for a year.
